DAM folk love talking about how important it is to manage archives, and we know the risks associated with an unmanaged archive. We drone on about the importance of centralising assets into a ‘single source of truth’, we brag about our myriad clever features, and the digital asset management ‘magic’ that will be the instant panacea for your archive headaches.

But what do we mean when we talk about managing archives? What’s the difference between an archive that is managed by a digital asset management (DAM) system and one that isn’t? And just how easy is it to solve your unmanaged archive headaches by adopting a DAM platform?

What Is an ‘Unmanaged Archive’?

Simply claiming your archives are ‘managed’ can mean a variety of things. It might mean you’ve backed up your files and sorted them into folders. It could mean you’ve consolidated your files in a central location. And if you’re really serious, you might have added some relevant metadata so content can be better understood and more easily found.

Of course, if you want to be professional about protecting and getting value from your archives you’ve already deployed a DAM system, then you probably don’t need to read any further.

Most would agree that order is better than chaos. And most organisations quickly realise that archives left unmanaged will become chaotic and, ultimately, unusable - at which point you’re left with lost opportunities, costs, and risks.

The Cost of an Unmanaged Archive

Let’s start with the costs associated with inaction. If you have a large and growing archive, say tens of thousands of files, you’re already absorbing storage costs. But that’s just the tip of the iceberg. By leaving your archives in an unmanaged state, you’re creating inefficiencies, which can also become significant costs.

It’s all very well knowing your data is safe, squirrelled away in the cloud, but if there are files of value in your archives (and there surely are if your archives are valuable enough for you to invest in keeping them safe), then the costs involved in trying to retrieve the exact file you need when you need it can be surprisingly high. Add up the hours (even days or weeks) wasted trying to find files that have become proverbial needles in a haystack, and the cost of unmanaged archives soon becomes apparent.

DAM vendors like to tout pseudo-scientific data about the time savings delivered by a DAM and then link that to ROI (return on investment). You might want to take those numbers with a pinch of salt. But if reliable figures are difficult to calculate, suffice to say that a DAM with the suite of management tools most provide, will definitely save time and money.

What’s more, if you are sitting on unmanaged archives, the time to act is now. The longer you wait, the harder it will be to bring order to your archives, and the more it will cost.

Why DAM Systems Still Need Active Management

In essence, a DAM system is all about releasing the value of your archives. The fundamental principle is that if a file can’t be found, it can’t be used – which means time wasted and opportunities lost. When archives are left unmanaged, organisations sometimes end up investing in creating new content when perfectly usable content already exists but can’t be found.

But beware, DAM systems don’t run themselves. They require commitment and resources to deliver the returns they promise.

Beyond the initial investment in DAM software, you’re going to need to put time into managing your assets. This means sorting content thematically, establishing usage protocols, determining permissions and access controls, and tagging content so it can easily be found when needed.

Unmanaged archives are vulnerable to uncontrolled distribution. This means content could easily be released into the public domain that runs contrary to your interests. It’s not just a question of keeping your messaging and communications coherent, there are serious reputational risks too.

What if pictures of your staff party get released by mistake, including unflattering pictures of senior management or VIPs? Without a DAM, you would have no audit trail to tell you who accessed your content and when. If your archives are properly managed, sensitive imagery will be restricted and access will be limited only to approved users with corresponding permissions.

For many, the risks associated with an unmanaged archive and uncontrolled content are simply too great to ignore. By comparison, the investment in a digital asset management system is a small price to pay. At the end of the day, it’s all about extracting value from a resource that, if left unmanaged, can lead to spiralling costs and unpredictable risks.
