Public bodies photograph the public
A department produces images constantly. Ministerial visits, public consultations, campaign shoots, infrastructure part-built, staff at work. Most of it lands on a shared drive named after whoever set it up, and a good deal of it shows members of the public who were told it was for one particular purpose.
Two things then get hard at the same time. Finding the right photograph for a publication takes a morning of asking colleagues who might still have it. And establishing whether you are allowed to use it takes longer than that, because the consent — if anyone collected it — is in the inbox of the press officer who ran the shoot and has since moved department.
Neither is urgent until it is: an information request arrives, a photograph appears in a campaign it was never cleared for, or the person in it asks for it to come down and nobody can say where it has gone.
What the platform does

One library
Every image in one place, with departments and agencies given their own libraries and the shared ones visible to all. No more drives named after the person who made them.
Search that finds it
Search by keyword, caption, date, location or your own fields. The photograph from the consultation two years ago takes seconds rather than a morning of emails.
Who can see what
Access by role. A press officer downloads at full resolution, a contractor sees only the campaign they were hired for, and neither of them can reach the rest of the archive.
Sending files out
Files leave as a link that expires and caps downloads, rather than as an attachment you cannot withdraw once it is in someone else’s inbox.
Consent on the file
The release form travels with the image, not in a filing cabinet. What it covers and when it runs out are properties of the photograph.
A record of what happened
Every view, download and share is logged with who and when — which is the answer to an information request rather than the beginning of a search for one.
What changes day to day
The work looks the same. The difference is that each of these questions now has an answer that takes seconds:
- Who is in this photograph, and what did they agree to?
- Which images can go in the annual report, and which cannot?
- Who has downloaded this file since we published it?
- What do we hold that shows this site before the works started?
- What should have been deleted by now, and has it been?
Consent that has expired takes the image out of circulation on its own, rather than depending on somebody remembering the date. And when a member of the public withdraws, the photographs covered by that consent are locked in the same action — including for anyone holding a share link.

Where is the data held?

Can it sit alongside the systems we already run?
Yes. There is an API and a set of integrations, and most organisations connect the platform to their intranet or website rather than replacing anything.
What happens to images when their consent runs out?
They come out of circulation automatically. The consent records hold the expiry, and the audit trail shows what happened and when.
How many people can use it?
As many as you have. One licence covers the organisation — there is no per-seat arithmetic, so giving a whole department read access costs nothing extra.
